Chief Accountant

Job Description General Responsibilities: • Manage and oversee all accounting operations of the company. • Establish and maintain an effective financial and internal control system. • Develop recruitment, training, and HR procedures for the accounting department. • Ensure compliance with internal regulations and company policies. • Guarantee the accuracy and legality of accounting records and books. • Analyze and forecast the company’s financial resources and cash flow. • Monitor receivables and approve payments proposed by other departments. • Review and report on the company’s monthly operational and financial performance. • Prepare and submit VAT returns, quarterly and annual financial statements, and finalize tax obligations in compliance with local tax authority regulations. • Prepare and submit statistical reports in accordance with government requirements. • Liaise effectively with relevant government authorities on matters related to tax audits, inspections, and regulatory compliance. • Stay updated on and apply changes in accounting regulations and policies. • Optimize tax obligations including VAT and corporate income tax. • Perform other tasks as assigned by the Board of Directors. Accounting Oversight for Restaurant & Kitchen Operations: 1. Revenue & Cash Flow Management • Cash inflow control: Oversee all payment channels – cash, bank transfer, credit cards (Visa, MasterCard, Amex), and e-wallets (Momo, VnPay, ZaloPay) including third-party delivery platforms (Grab, ShopeeFood, Baemin, Gojek). • Other inflows: Track collections from customers, asset liquidations, etc. • Cash outflow control: Set clear documentation and approval procedures for all expenses (payment requests, invoices, contracts, purchase orders). • Daily revenue tracking: • Cashiers submit daily sales reports and shift closures to the accounting department. • Accountants reconcile sales with POS system data and maintain accuracy in financial records. • VAT invoices are issued and documented. • Reconciliation with third-party platforms is performed regularly. • Related documentation is securely stored for audit purposes. 2. Purchasing Management Process • Monitor purchasing prices and ensure they align with market rates. • Compile purchase needs and coordinate supplier orders. • Collaborate with kitchen/bar to define input standards and daily quality control. • Standardize documentation for goods receipt (invoices, receiving slips, etc.). • Record data into accounting software for real-time tracking and reporting. • Store documentation for verification and audit. 3. Inventory, Tools & Fixed Assets Management • Standardize codes and nomenclature for ingredients, products, and assets. • Work with kitchen/bar to set dish portion standards and ensure cross-department consistency. • Maintain updated and standardized procedures for: • Stock transfers between departments/outlets. • Semi-finished product processing. • Inventory wastage/disposal due to spoilage, over-ordering, improper storage, etc. • Schedule regular stocktakes based on inventory characteristics (main, sub, fuel, etc.). • Implement a clear reward/penalty policy to ensure staff accountability. • Input inventory and asset data into the accounting system for accuracy and reporting. • Monitor and manage tools and fixed assets: maintain asset codes, usage tracking, and condition assessments. • Record any damages/losses and propose timely replacements. • Conduct periodic audits and apply control policies with accountability measures.
